Privacy policy
This document explains what personal data we collect in connection with the MasterMind Białystok initiative, why we process it and what rights you have. If anything is unclear, write to mastermind@bialystok.pl.
1. Data controller
The controller of your personal data is the organiser of the MasterMind Białystok initiative.

We have not appointed a Data Protection Officer — it is not required at this scale of processing. All requests are handled at the address above.
2. What data we collect
- From the registration form: name, e-mail address and, optionally, phone number, company or project name, type of activity and the message you write.
- From e-mail correspondence: sender address and message content.
- Technical server data: IP address, date and time of the request, browser type and referring page — recorded automatically in the hosting provider's logs.
We do not ask for special-category data (health, beliefs, memberships) and we ask you not to include such information in your message.

Providing data is voluntary. However, without a name, an e-mail address and consent to processing we cannot handle your registration.
4. Recipients
We do not sell your data and do not share it with third parties for marketing. Access may be given only to:
- our hosting and e-mail provider, as a processor under a data-processing agreement;
- the people organising the meetups, to the extent needed to prepare the event;
- competent public authorities, solely on the basis of law.
5. Retention periods
- Meetup registrations: for as long as the initiative runs, no longer than 24 months from the last contact, unless you ask for erasure earlier.
- Consent to meetup announcements: until the consent is withdrawn.
- E-mail correspondence: up to 24 months after the matter is closed.
- Server logs: according to the hosting provider's policy, usually up to 12 months.
6. Your rights
You have the right to: access your data and receive a copy; rectify inaccurate or incomplete data; erase your data; restrict processing; data portability for data processed on the basis of consent; object to processing based on legitimate interest; and withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
To exercise any of these rights, a message to mastermind@bialystok.pl is enough. We respond within one month at the latest and never ask why you want your data deleted.
You also have the right to lodge a complaint with the supervisory authority: the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.
7. Security
We apply measures proportionate to the scale of processing: encrypted transmission (HTTPS), collecting the minimum data necessary, access control over the mailbox, server-side validation and anti-automation protection on the form.
No safeguard offers a hundred-per-cent guarantee. If you spot a security issue on this site, please write to mastermind@bialystok.pl.
8. Transfers outside the EEA
As a rule, data stays on servers within the European Economic Area. If we ever introduce a tool that requires a transfer outside the EEA, we will state this in this policy together with the legal mechanism used (for example, standard contractual clauses).
9. Cookies
The site uses only the mechanisms necessary for it to work and to remember your consent choice. No analytics or marketing tool runs without your consent. Details are in the Cookies policy.
10. Changes to this policy
We may update this policy, for example after introducing a new tool. The current version is always available at this address and the date of the last change is given at the top.
This document is informative and follows common practice. Before publication we recommend having it reviewed by a lawyer or data-protection specialist, taking into account the controller's actual legal form and the tools in use.
